Our approach to AI
Our relationship with you is built on understanding your circumstances, your goals and what matters to you. We use technology, including artificial intelligence (AI), to support our team in providing a thoughtful, personal financial planning service.
How we use AI
We may use approved AI tools to help organise information, support technical and regulatory research, prepare draft documents and correspondence, and create meeting transcripts, summaries, file notes and agreed actions.
For general technical or regulatory research, we use material that does not identify clients.
Our tools include Microsoft business services, such as Microsoft 365 Copilot, and other approved applications. The services and features we use may change over time.
Our people remain responsible
AI supports our work, while our people remain responsible for professional judgement and the service we provide. Financial advice and recommendations are reviewed, approved and delivered by an appropriately qualified and authorised person.
AI can produce inaccurate or incomplete information. We check technology-assisted work before relying on it in providing your service or sharing it with you, including checking that it is relevant to your circumstances.
We do not use these tools to provide automated regulated financial advice directly to you or to make decisions based solely on automated processing that have legal or similarly significant effects on you. Using AI does not reduce our responsibility to exercise reasonable skill, care and diligence.
Protecting your information
We review applications before approving them for use with personal information, including their purpose, access arrangements, security and data protection terms. We limit the information used to what is relevant to the task and restrict access to authorised users.
Depending on the service, information may be processed by Microsoft, a model provider or another service provider, including outside the UK. Our Privacy Policy explains the providers and technologies involved, how information is used and protected, retention arrangements and your rights.
Meetings and calls
We may record and transcribe meetings to prepare accurate notes and agreed actions. Calls may also be recorded for staff training and monitoring purposes.
We explain recording arrangements before recording starts. For planned meetings, this includes advance notice by email, signs in meeting rooms and visible notifications in video calls, as appropriate.
You can ask us not to record in advance or at any time. If you ask us to stop, we will stop recording and transcription immediately. We can continue an ordinary client meeting using manual notes. If a particular communication must be recorded by law, we will pause or end it and explain any available alternatives.
You can request copies of transcripts we hold. Our Privacy Policy explains the recording arrangements, additional safeguards for sensitive information and any lawful restrictions on providing copies.
